Purchasing Clerk (entry-level)

Job Summary: The Purchasing Clerk is responsible for supporting the procurement process by handling routine purchasing tasks. This entry-level role focuses on processing purchase orders, maintaining vendor records, and ensuring that inventory levels are managed efficiently. The ideal candidate will be detail-oriented, organized, and eager to learn about procurement processes.

Key Responsibilities:

  • Assist in the creation and processing of purchase orders based on requisitions, ensuring accuracy and timeliness.

  • Communicate with vendors to confirm order details, track delivery status, and address basic inquiries or issues.

  • Help monitor inventory levels, track usage, and report low stock situations to ensure adequate supply.

  • Maintain accurate and organized records of purchase orders, receipts, and correspondence with vendors.

  • Input and update purchase order and inventory data into the company’s procurement software or database.

  • Adhere to company policies and procedures for procurement and ensure compliance with relevant regulations.

  • Assist with resolving minor issues related to orders, such as discrepancies or returns, and escalate more complex issues to a higher-level clerk or manager.

  • Provide general administrative support to the purchasing department, including filing, organizing documents, and handling routine office tasks.

Qualifications:

  • High school diploma or equivalent; additional coursework or certification in purchasing or supply chain management is a plus.

  • Previous experience in an office environment or administrative role is preferred but not required.

  • Strong attention to detail and accuracy

  • Good organizational and time-management skills

  • Basic communication and interpersonal skills

  • Proficiency in computer applications

  • Ability to learn and adapt to new software and procedures

  • Ability to sit for extended periods and use a computer

  • Occasional lifting of office supplies and materials (up to 25 pounds)
